How to Choose the Right Venue for Corporate Events, Gala Dinners and Away Days

Introduction

Finding the right venue for a corporate event is often more difficult than it should be. Many organisations struggle to find a space that works for different formats such as conferences, gala dinners, meetings, and team away days, all while still offering a professional and memorable experience.

The reality is that not every venue is designed to handle this level of flexibility. Choosing the wrong one can lead to logistical challenges, limited space, poor guest experience, and a lack of impact for your event.

In this guide, we explain what to look for in a corporate event venue and how to choose a space that works for meetings, gala dinners, and team away days without compromise.

Why choosing the right corporate venue matters

The venue you choose directly impacts how your event is experienced and remembered. Whether you are hosting clients, rewarding staff, or launching a product, the environment sets the tone.

A strong corporate venue should help you:

  • Impress clients and stakeholders from the moment they arrive
  • Support both formal and informal event formats
  • Create a professional yet engaging atmosphere
  • Allow for smooth logistics and guest movement
  • Reflect your brand values and identity

Poor venue selection often results in limited flexibility, awkward layouts, and a disconnected guest experience.

Common problems with corporate event venues

Many organisations find that traditional venues such as hotels or small conference spaces do not fully meet their needs. Common issues include:

  • Limited capacity for larger guest numbers
  • Lack of breakout spaces for meetings or workshops
  • Restricted layout flexibility for gala dinners or awards nights
  • Generic environments that lack character or impact
  • Minimal outdoor space for networking or team building

These limitations often force businesses to compromise on their event vision.

What to look for in a corporate event venue

When choosing a venue for corporate events, gala dinners, or away days, there are several key factors to consider.

1. Flexible event spaces

A strong venue should be able to adapt to different formats, including:

  • Boardroom-style meetings
  • Theatre-style conferences
  • Formal gala dinners
  • Informal networking or social events

Flexibility ensures your venue can support the full lifecycle of your event.

2. Capacity for large and small groups

Whether you are hosting 20 people or 1,000+, the venue should scale comfortably. This includes:

  • Large main event spaces
  • Smaller breakout rooms
  • Outdoor areas for additional activities

Scalability is essential for growing organisations and large corporate functions.

3. Strong event infrastructure

A professional corporate venue should offer:

  • Audio-visual capabilities
  • Reliable Wi-Fi
  • Staging and lighting options
  • On-site event coordination support

These elements ensure your event runs smoothly from start to finish.

4. Catering and hospitality options

Food and drink play a major role in guest experience, particularly for gala dinners and full-day events. Look for venues that offer:

  • Flexible catering packages
  • Formal dining setups for awards or galas
  • Casual options for away days or networking events

5. Accessibility and logistics

Practical considerations are often overlooked but essential:

  • Ample parking for large guest numbers
  • Easy transport links for regional and national attendees
  • Clear signage and guest flow management

Why countryside venues are becoming the preferred choice

More organisations are moving away from traditional hotel conference rooms and choosing countryside venues instead.

The benefits include:

  • Larger, more flexible spaces
  • Greater privacy for corporate clients
  • The ability to host both indoor and outdoor elements
  • A more memorable and engaging environment
  • Better opportunities for team building and networking

A countryside setting allows events to feel less routine and more experiential.

A venue designed for multiple corporate event types

At Dallas Burston Polo Club, corporate events are designed to work across a wide range of formats without compromise.

The venue supports:

  • Large-scale conferences and meetings
  • Formal gala dinners and awards evenings
  • Corporate away days and team building events
  • Product launches and networking functions

With flexible indoor spaces and extensive outdoor grounds, events can be fully customised based on your objectives.

Real examples of corporate event use cases

To understand how versatile a venue can be, here are a few common setups:

  • A daytime conference followed by an evening gala dinner
  • A leadership meeting with breakout sessions and networking areas
  • A full company away day combining workshops and outdoor activities
  • A formal awards night with dinner, entertainment, and presentations

Each format requires different layouts, but a flexible venue can accommodate them all within one location.

Key questions to ask before booking a corporate venue

Before making a decision, ask:

  • Can the venue support multiple event formats in one day?
  • Is there space for both formal and informal activities?
  • How flexible are the room layouts and setups?
  • What technical support is available on-site?
  • Can the venue scale for different group sizes?

These questions will help ensure your venue aligns with your event goals.

Dallas Burston 6 Goal Victor Ludorum Final

Dallas Burston Polo Club opened the 6 goal Victor Ludorum series with the Stoneythorpe Trophy, with 5 teams competing over 2 weeks.  The weather was against us but the grounds held up well.  League matches were hard-fought by all teams.  Dawson Group came first in the league stages with 2 wins and Bob Music, CANI, and Quel Domage all winning one game each.  Semi-finals were held on 20th May and in spite of the rain spirits were not dampened; with Dawson Group beating Quel Domage 4-2 for a spot in the final and CANI storming through 11-6.5 to Bob Music.

The finals were held on 22nd May under turbid skies.  The sub-final was hard-fought between La Rosada and Quel Domage.  A closely fought match saw Hugh Humfrey’s Quel Domage team coming out the winners 6-5 with great team play from both sides.

The main final was held on the immaculate Red ground in front of the clubhouse.   The first chukka started strongly for CANI with Matias Amaya scoring 2 goals.  As the sky turned darker Dawson Group came back in the second with a good goal from Ollie Conway.  Strong play from Tamara Fox levelled the score with CANI 2-2 in the third, with Ollie Conway putting Dawson Group into the lead 3-2 at the end of the chukka.  The last chukka was fought hard by both teams and despite strong play from Matias for CANI they could not come back and Dawson Group managed to maintain their 1 goal lead and won 3-2.

WINNERS:

Dawson Group (Tamara Fox 2, Freya Dawson 0, Oliver Conway 0 & Mikey Henderson 4)

Your Guide to Polo

Five stars

August 20, 2020

scroll down

Whether you’re a first time spectator or a seasoned polo fan, here’s a few tips to help you follow the action.

Offside Forehand

The most common shot in polo and the first that players learn.  It’s the most powerful and effective shot.  It can be played as a full shot as shown in the illustration, or as a half shot, which allows players to tap or dribble, the ball.

Nearside Forehand

As players cannot switch which hand they hold the stick in, nearside shots require them to lean over the left hand side of the pony.  A common mistake is to hit the ball with a bent elbow which loses much of the power and control.

Offside Backhand

A shot which enables a player to hit the ball backwards on the stick side.  It can be angled to be played ‘open’ (to the right) or ‘tail’ (to the left).  It can be played straight back, but is usually ineffective if an opponent is directly behind.

Nearside Backhand

This shot can be very powerful when performed correctly, but it can destabilise the rider. The player has to lock their right knee into the saddle and fully rotate their body to make this a shot.  As with the offside backhand, it can be angled into a ‘tail’ (left) or ‘open’ (right).

Hooking

One of two basic defensive plays allowed by the rules.  A player’s mallet is used to block or interfere with an opponent’s swing at the ball.  A hook can only be played if the player is on the side where the swing is behind, an opponent.  Unsafe hooking is a foul that will result in a penalty shot being awarded.

Ridding Off

A player rides his pony alongside an opponent in order to move an opponent away from the ball or take him out of play.  Players are not allowed to use their elbows.  Horses must be shoulder to shoulder and travelling at the same speed.  Two players following the line of the ball and riding one another off have the right of way over a singe man coming from any direction.
